Job Description

Job  Profiles :

To Prepare, examine and analyze accounting records, financial statements, or other financial reports to assess accuracy, completeness, and conformance to reporting and procedural standards

  Job Responsibility :

 Resolve fund related problems.

· Reconcile all pending accounts on a monthly basis.

· Preparation of Management Report.

· Track and record of all advances and dues.

· Release of monthly living allowance in time.

· Release of work overtime.

· ERP Implementation.

Skill:

Availability of funds.

· Updated reports in time.

· Timely Submission

· Updated Employee Accounts.

· Updated Employee Accounts.

· Proper voucher entries.

· All report should be generated through ERP.

Job Description:

Follow up with departments on new projects/funds to be created.

· Establish new funds, process donation journal entries, investigate discrepancies and prepare detailed records and reports as required.

The International Potato Center (CIP) is an International Agricultural Research Centre that seeks to reduce poverty and achieve food security on a sustained basis in developing countries through scientific research and related activities on potato, sweet potato, and other root and tuber crops.

CIP is part of the Consultative Group on International Agricultural Research (CGIAR).CIP operates a Regional Office for the Sub-Saharan Africa based in Nairobi, Kenya with offices in Bungoma town.

CIP is hereby inviting applicants for the position of Administrative /Accounts Assistant for the Bungoma Office.

Principal Functions:

The successful candidate will be supervised by the Project Manager and Regional Finance Officer and will perform the following duties:

Accounts:

Job Summary

He/she will be responsible for professional accounting work, including auditing, analyzing and verifying fiscal records and reports; preparing financial reports, and coordinating regulatory compliance activities.

Key Responsibilities
* Ensure accurate and timely recording of journal entries, account work papers, reconciliation statements, spreadsheets and databases work papers in the performance of accounting, budgeting, and financial analysis
* Supervise preparation of and audit a variety of accounting, budget and financial reports, statements, transactions, and records in accordance with applicable laws, codes, statutes, rules, regulations and ordinances
* Prepare monthly financial statements, including cash-flow statements, monthly revenue and expenditure reports and forecasts for the Company
* Assist the Head – Finance & Legal in preparing the Company’s annual and mid-year budgets, and conduct budget analysis and reviews
* Prepare and file annual financial statements for the organisation, and ensure up-to-date records for fiscal year-end accounting
* Prepare statements for fixed asset accounting
* Prepare audit schedules for external auditors and act as a liaison between the Company and auditors
* Monitor, analyze, and review financial summary and detailed reports, internal/ external reports, programme budgets, documents, studies, or records for accuracy and completeness
* Provide information to staff regarding accounting practices and procedures

Qualification and experience
* A Bachelor’s degree preferably with major coursework in accounting, finance and/or economics
* Qualification as a Chartered Accountant/ Company Secretary/ Cost Accountant/ Certified Public Accountant
* At least 5-7 years of general accounting experience
* Thorough knowledge of Generally Accepted Accounting Principles and practices related to auditing, budgeting, book-keeping, and fiscal record keeping
* Keen knowledge of principles of fiscal administration including development and maintenance of sound internal fiscal controls & policies, and financial analysis
* Exposure to budget development, monitoring, and analysis & controls
* Ability to operate internal accounting information systems and computer applications as required
* High degree of facility with the English language; knowledge of Arabic is an advantage

2. Insurance Officer
We are looking for an insurance officer in order to expand our current team. The ideal candidate will be expected to well versed with insurance issues. Some of the tasks involved are as below:
* Proper filing of all insurance documents.
* Perform administrative tasks, such as filing and maintaining records.
* Handle all renewals.
* Handle all company’s staff minor accidents, ensuring all requirements including any necessary medical examinations and the completion of appropriate forms done.

Job Profile:
The Accounts Assistant role is to provide accounting support and assist in ensuring compliance to policies and procedures of the organization.

Responsibilities:

The incumbent will:
* Provide accounting support to project staff while assuring compliance with financial & administrative policies and procedures, donor regulations and budget restrictions.
* Assist in the daily financial accounting procedures of projects including recording all cash, cheque and bank transfer transactions, maintain cash and bank ledgers, monitor cash advances and field expense reports and reconcile cash-on-hand.
* Liaise with procurement in ensuring all documentation is in compliance with budgets and procurement policies and procedures.
* Posting of creditors invoices after confirmation of proper supporting documentation.
* Register all financial transactions in the accounting system and maintain accounting records according to agreed standards.
* Update and maintenance of the Fixed Assets Register and depreciation schedules.
* Invoicing as per agreement and contracts with donors and implementing partners.
* Process and make payments as provided in the approved budget and ensure that proper authorization is obtained for all disbursements and proper financial documentation is used.
* Undertake some of the monthly closing procedures including bank reconciliations, creditors’ reconciliations, staff accounts and Petty cash audit.
* Maintain efficient, accurate, timely, proper and transparent financial filing system of all documents relating to finance. Ensure complete documentation and audit trail for each transaction is maintained.
* Any other duties assigned by the supervisor.

Qualifications/Experience:
* Degree with a bias in accounting and part-professional qualifications.

Tenure of Appointment:
The initial appointment will be for 2 year including a 3 months probation period with possibility of renewal.

ICAP Accounts Assistant Jobs Kenya.

International Centre for AIDS Care and Treatment Programs (ICAP) of Columbia University is working with a consortium of partners led by Jhpiego and the Ministries of Health to implement activities in support of the USAID-funded APHIAplus Service Delivery Program in Central and Eastern Provinces.

The APHIAplus Program is designed to contribute substantively to the United States Government (USG) and Government of Kenya goals in HIV and AIDS, TB, Reproductive Health/Family Planning, malaria and maternal and child health.

Summary Scope of Work:
The Accounts Assistant will be responsible for day to day bookkeeping and assist in the reporting and monitoring of finances to ensure full compliance with USG policies and regulations of the Aphiaplus /ICAP program as well as GoK rules and regulations with utmost accuracy and completeness of the financial records to facilitate prompt reporting.

Key Responsibilities
* Maintain and control of petty cash
* Prepare payments for suppliers
* Ensure proper filing of all financial reports and support documentation and posting QuickBooks transactions
* Promptly submit all payroll statutory deductions other tax returns due to the relevant authorities

Minimum Requirements
* CPA II
* At least 3 years’ experience in a similar position
* Proficiency in the use of accounting software
